FAQ dedicated to the quota system

Everything you need to know about the quota system: the basics, daily usage, the difference between subscriptions and prepaid credits, and how to top up your quota

The basics

A quota is a balance of certifications available on your account.

Certificall uses two separate counters:
- Photos & signatures: each certified photo, each electronic signature and each uploaded document uses 1 unit from this counter.
- Videos: each certified video uses 1 unit from a separate counter.

Steps that do not produce certified evidence (text field, date, choice from a list, etc.) are free and do not use any quota.

Your quota is deducted at the time of synchronisation, not when the photo or video is taken in the field.

When your counter reaches zero, you can no longer synchronise your files. Capture remains possible offline.

To give you more transparency and control over your usage. Your current subscription remains unchanged. The number of photos and videos included in your plan each month becomes a "quota". You will be invited to top up this quota when it runs out, so there are no unpleasant surprises when you receive your invoice.

Quotas will be rolled out gradually, in successive waves. Not all customers will be switched over at the same time. You will receive an email letting you know when the quota system is active on your account.

Subscription vs prepaid

- Monthly subscription: you have a monthly allowance of photos and videos, renewed automatically on your subscription anniversary date. Unused photo and video credits are not carried over from one month to the next.
- Annual subscription: you can use your annual allowance of photos and videos freely until your quota runs out. The annual subscription requires payment for all 12 months upfront; in return, you can use your photo and video allowance at your own pace.
- Prepaid credits: you buy additional credits on demand. They do not expire and act as a reserve.

Once your quota has run out, you will be invited to top up with prepaid credits so you can continue certifying your photos, videos, signatures and documents.

You choose how much to add (Photos & signatures and/or Videos) from your administration area or the mobile app.

At the start of each month, the quota included in your subscription is reset. It is used first.

Once this quota has run out, your prepaid credits automatically take over, for both Photos & signatures and Videos.

Your prepaid credits do not expire. They remain available until they are used up.

Yes, absolutely. If you have a specific rate for usage beyond your plan, that rate applies to your purchases of additional credits. You will never be charged the standard list price instead.

Day-to-day use

Don't worry. Your technician can carry on taking photos, videos and signatures as usual. The data is stored locally on the device.

Your quota is deducted at the time of synchronisation, not when the photo or video is taken. If there is not enough quota when synchronising, synchronisation is put on hold.

As soon as your account is topped up, synchronisation resumes automatically. Certificates are generated without any further action on your part.

You can track your quotas in real time in two places:

In the mobile app: the remaining quota counter (Photos & signatures / Videos) is always visible. It updates with each synchronisation.

In the administration area: two counters at the top right of every page continuously show your remaining quota against your total. The "Increase quota" button lets you top up in one click. The counters update automatically, without reloading the page.

For multi-entity organisations, the dashboard shows usage by company.

→ We will be introducing email alerts in the coming weeks to notify you before you reach zero.

Per company. All your logged-in team members share the same counter, updated in real time. When a technician certifies a photo in the field, your company's quota goes down immediately.

Alerts and top-ups

An automatic top-up option via Stripe is currently being developed. It will let you set a threshold that triggers an automatic top-up of a predefined amount.

We will let you know as soon as it is available.

No. Online top-ups are restricted to users with the appropriate rights. Only users with an Administrator or Billing profile can make a payment and top up the quota.

These rights are managed by the account administrator, from the mobile app or the administration area. A field technician without these rights cannot top up the account themselves and will need to contact the right person internally.

→ Make sure in advance that your managers have Administrator or Billing rights.

No problem. Photos, videos, signatures and documents captured without network coverage are stored locally on the device.

Your quota is not deducted at the time of capture, but at the time of synchronisation.

As soon as the connection is restored, files synchronise automatically. The corresponding quota is deducted without any action on your part.

Whenever you change plans, a new subscription takes effect immediately, on the day of the change. That day becomes your new anniversary date.

The remaining quota from your previous plan is neither kept nor added to the new one. Your quota restarts from the volume included in your new plan.

→ To avoid losing unused quota, switch plans at the end of the month or when your quota is close to zero.
